Reports

Reports give you a clear picture of your store’s sales, payments, and stock flow. Vikra Seller has a set of default reports using which you can get a drill down insight on your sales. You can further customise these reports to cater to your business needs.

Let’s see the different types of reports available in Vikra Seller.

Sales

Sales Reports can be used to get a clear idea of how many items were sold, the number of orders that were returned, and their packaging history. Let’s see them one by one

Sales by Item

This report lists the items that are sold during a selected time period along with their quantity, amount, and average price by default. You can customize this report to show additional information such as amount with tax, created by, etc. To view this report:

  • Go to Reports from the left sidebar.
  • Click Sales by Item under Sales.

A detailed report of the items sold during the selected date range will be displayed.

Sales Return History

With the Sales Return History report, you can get an overview of orders that are returned to the store. You can also see the status of the order’s refund, the refund amount, and everything related to the return. To view this report:

  • Go to Reports from the left sidebar.
  • Click Sales Return History under Sales.

A report with all your sales returns during the selected date range will be displayed.

Sales by Category

As a store owner, you may sell multiple items from different categories. It is essential to keep check on which of these categories are performing well and the ones that have lesser traction. This can help you alter your sales strategy. To view this report:

  • Go to Reports from the left sidebar.
  • Click Sales by Category under Sales.

A report with your sales based on different categories will be shown.

Packing History

This report can be used to track the number of packages packed during a certain period. The report will display the package along with its order, status, tracking#, and quantity. To view this report:

  • Go to Reports from the left sidebar.
  • Click Packing History under Sales..

A report of your packages along with their order details will be shown.

Inventory

These set of reports help you track your items and their stocks. With these reports, you can get a clear idea of the number of items you have at any point of time.

Inventory Summary

This report gives you a detailed report on the number of stocks ordered, the quantity you currently have, and the items that are out for delivery. The report will display the details of all your items as on the selected date range. To view this report:

  • Go to Reports from the left sidebar.
  • Click Inventory Summary under Inventory.

A report of your items along with their stock numbers will be displayed.

Item Summary

This report can be used to get a detailed view of all your items. This includes the item’s status, description, SKU, and created and last modified time. . To view this report:

  • Go to Reports from the left sidebar.
  • Click Item Summary under Inventory

Item Sales Report

There are times where you would need to know the number of sales for a particular month or year. This report shows the items sold, along with the sales margin and the amount. To view this report:

  • Go to Reports from the left sidebar.
  • Click item Sales Report under Inventory.

All the items sold within the selected time duration will be displayed.

Warehouse Report

If you have multiple stores configured in Vikra Seller, you can use this report to see the stock numbers of items in all your stores. To view this report:

  • Go to Reports from the left sidebar.
  • Click Warehouse Report.

All your items, along with their stock numbers in your various stores, will be displayed.

Stock Summary Report

This report is helpful if you want to see the stock changes of your items during a particular period. To view this report:

  • Go to Reports from the left sidebar.
  • Click Stock Summary Report under Inventory.

Receivables

The Receivables reports help you track down orders, invoices, and orders based on items as well.

Invoice Details

You can use this report to view all the invoices and their associated orders during a particular date range. To view this report:

  • Go to Reports from the left sidebar.
  • Click Invoice Details.

A report with all the invoices, their statuses, along with their invoice and due dates will be displayed.

Sales Order Details

When you need a detailed report on your orders and statuses, this report can be used. To view this report:

  • Go to Reports from the left sidebar.
  • Click Sales Order Details.

All your orders, along with their statuses, customer name, and amount, will be shown.

Orders by Item

You can use this report to view all the orders related to items during a particular period. To view this report:

  • Go to Reports from the left sidebar.
  • Click Orders by Item.

All the items, along with their orders, customers, and the amount will be shown based on the chosen date range.

Activity Logs & Audit Trail

All the activities done in Vikra Seller can be viewed under activity logs. You can filter these activities based on modules, users, and operation type. With this, you can see who created, deleted, or updated any record in Vikra Seller. To view this report:

  • Go to Reports from the left sidebar.
  • Click Activity Logs & Audit Trail.

Customizing Reports

If what you’re looking for is not available in the default reports, you can customize the reports based on your needs. To customize a report:

  • Go to Reports from the left sidebar.
  • Navigate to a report you want to customise.

You will be redirected to the customization window.

General

In the general section, you will be able to customise based on the below filters:

Filters Description
Date Range The date range for which you want the report to be generated. This can be monthly, yearly, quarterly, etc. or a custom date range you enter.
Report Basis Sales Order: Choose this option if you want the report to be generated for all Orders.

Invoice: Choose this option if you want your reports to be generated for orders that are at-least shipped.

Customizing Report Columns

Vikra has a default set of columns which appear whenever you run a report. If you want the columns to be different, you can always customize them. To customize:

  • Click Customize Report Columns.
  • Hover your mouse over the fields you require under Available Columns and click the + icon.
  • The field will move over to Selected Columns; click on Apply.

The report generated will have all the columns present under Selected Columns from the previous window.

Exporting data

You can export your reports in the below formats:

  • PDF
  • XLSX
  • XLS and
  • CSV

To export a report:

  • Go to Reports from the left sidebar.Go to the report you want to export.
  • Click Export on the top corner of the page.
  • Choose the file format.
  • Entering the name for the file under Enter the name for the exported report file.
  • Type in a password if you wish to protect the file with a password.
  • Click Export.

You can further customise your reports before exporting them. Here’s how:

  • Click Customize the details in the export file to customise the export file.
  • Check all the information you want the export file to have under Choose Details to Display.
  • Add a note under Temporary Note. This will be displayed on the footer of the report when it is exported.
  • Customise the layout of the export file, under Report Layout.(If you are doing a PDF export)
  • Click Export.

The exported file will have all the customization you have selected. This customization is applicable only to this specific report. You will have to customize reports individually when exporting them.
